Which documents can be apostilled and how fast

Civil status documents such as birth, marriage and death certificates and certificates of legal capacity to marry can be apostilled straight away, without earlier steps. Diplomas and academic supplements go through NAWA, school certificates through the regional education authority. Notarial deeds, powers of attorney and court documents often need prior authorisation by the District Court President before the Ministry can add the apostille.

For countries that signed the 1961 Hague Convention, the apostille is enough. For countries outside the convention you need full consular legalisation: first the Ministry of Foreign Affairs, then the embassy of the destination country. If the receiving office requires it, we also arrange a sworn translation.

Frequently asked questions

Answers about apostille online: what it is, the MSZ fee, which documents, the Hague Convention, processing time and online filing.

What is an apostille?

An apostille is a certificate that confirms the authenticity of the signature and seal on a public document so it can be used legally in another country. In Poland it is issued by the Ministry of Foreign Affairs (MSZ), and for academic documents by NAWA.

Can I get an apostille online?

There is no government portal for filing an apostille application online in Poland. The application is filed in person or by post at the Ministry. We run the whole case for you, so from your side it is online: you send the document, we submit it and send it back.

Who issues the apostille in Poland?

The Ministry of Foreign Affairs (MSZ) in Warsaw issues apostilles for civil status, notarial, court and commercial documents. Diplomas and academic supplements are handled by NAWA, and school certificates by the regional education authority.

How much does an apostille cost?

The official fee is 60 PLN per document at the Ministry of Foreign Affairs, and 60 PLN for academic documents through NAWA. School documents are usually legalised free of charge. Our service packages are 197 PLN (Standard) and 397 PLN (Premium), with the 60 PLN seal fee added per document.

Which documents can be apostilled?

Civil status documents (birth, marriage, death certificates), diplomas and academic supplements, notarial deeds, powers of attorney, court documents, certified translations, commercial and export documents, and KRS extracts in paper form.

How long does it take?

Standard processing takes 3-5 working days. Urgent cases can be ready within 24 hours, and in some simple cases an apostille can be issued the same day.

For which countries is an apostille enough?

An apostille is enough for countries that signed the 1961 Hague Convention, which covers more than 120 states. For countries outside the convention you need consular legalisation: the Ministry of Foreign Affairs first, then the embassy of the destination country.

Do documents need a sworn translation?

It depends on the receiving office in the destination country. The apostille itself does not require a translation, but the underlying document often does. We arrange a sworn translation when it is needed.

Does my document need any step before the apostille?

Civil status certificates can be apostilled straight away. Notarial deeds, powers of attorney and court documents usually need prior authorisation by the District Court President, and diplomas go through NAWA, before the Ministry adds the apostille.
